These terms and conditions (the “Terms”), apply to all Participants at Events (in each case as defined below). Your attendance at an Event indicates your agreement to these Terms. The following terms and conditions, together with any referenced documents (collectively, the "Terms") are a legal agreement between you (collectively, “Participant”, “you” and “your”), and Planisware UK LTD (collectively “Planisware”, “We”, “Us”).
Important: These terms for a binding contract between you and us when accepted by you. You accept these terms by (1) attending the Planisware Exchange Event (the "Event") (2) indicating acceptance of these terms when they are presented online, such as by checking a box captioned with acceptance language or clicking an icon bearing an "Accept" or similar legend or by otherwise electronically signing these terms. If you do not agree to these terms, you may not attend our event.
1. Event Registration
1.1 Event registration
Your registration is subject to acceptance by Planisware, which will be confirmed after we have received:
- Your completed registration form,
- Where applicable, the fee related to your registration (the "Fee") and,
- Any required supporting documents.
Planisware may in its sole discretion and without justification, refuse to accept Your registration.
2. Refund and cancellation policy
2.1 Cancellation by Planisware
If the Event cannot be held or is postponed due to events beyond the control of Planisware (i.e. force majeure) or due to events which are not attributable to wrongful intent or gross negligence of Planisware, Planisware cannot be held liable by participants for any damages, costs, or losses incurred, such as transportation costs, accommodation costs, costs for additional orders, financial losses, etc.
Under these circumstances, Planisware reserves the right to either retain the entire registration fee and to credit it for a future Event, or to reimburse the participant after deducting costs already incurred for the organisation of the Event and which could not be recovered from third parties.
3. During the event
3.1 Privacy and image right
Planisware could take video and photo footage of the event.
- You grant Planisware full rights to use the images and sound recordings resulting from session recordings, and reproductions or adaptations thereof, for the purpose of promotion of Planisware products, services, or future events, Planisware’s publicity, or any other lawful purposes. This might include (but is not limited to), use in printed or online form, in social media, press releases and marketing collateral.
- Planisware may edit, adapt or translate (provided that to do so is not in any way disparaging or defamatory) any filming or recording of you and you agree not to exercise any “moral rights” you may have against Planisware (or any third parties authorised by Planisware) in respect of any use Planisware makes of any filming or recording of you.
Your authorisation extends freely worldwide for a duration of five years and remains intact regardless of any changes in your civil state. This authorisation includes reproduction, publication and circulation of all images in their initial form or after adaptation, for all current and future processes, in order to demonstrate Planisware products and services presented at the Event, using all types of communication including but not limited to audio visual, digital or printed (notably television, internet, CD-ROM, brochure, magazine, newspaper) and for all types of internal and external public communication for the company (such as marketing, commercials, advertisement, press relations…).Your authorisation extends freely worldwide for a duration of five years from October 16th, 2024 and remains intact regardless of any changes in your civil state. This authorisation includes reproduction, publication and circulation of all images in their initial form or after adaptation, for all current and future processes, in order to demonstrate Planisware products and services presented at the Event, using all types of communication including but not limited to audio visual, digital or printed (notably television, internet, CD-ROM, brochure, magazine, newspaper) and for all types of internal and external public communication for the company (such as marketing, commercials, advertisement, press relations…). You authorise Planisware to make mention of your participation at the Event.
You are encouraged to capture your Event experiences and post your own social content from the Event (text, photos, audio, video, streaming), provided it does not defame other Event participants or exhibitors or infringe on copyrighted or trademark protected Planisware branding and content. Due to the prevalence of mobile recording devices, Planisware disclaims all liability for the capture of your image by other attendees in any multimedia format.
3.2 Confidentiality
Provided that it is presented by Planisware as confidential, you may be dealing with confidential information during the Event; you agree to keep such information in strict confidence.
3.3 Intellectual property rights
You acknowledge and agree that all copyright, trademarks and all other intellectual property rights in all material or content presented and given to you during the Event shall remain at all times owned by Planisware (i.e its software applications, technical aspects, ideas, brands, data, documentation, know-how, procedures and methods).
3.4 Personal Data
Planisware acts as the administrator of your personal data. Your personal data collected by Planisware from the event participation form shall be processed for the Event organisation purposes in accordance with applicable data protection laws. You have a right to access and modify your personal data. Planisware reserves the right to use the email address specified when registering for the Event to send notifications to participants of the Event, including about changes in the Event program. For the purpose of administering your participation in the Event, Planisware may disclose your personal data to third party service providers who assist in the conduct of the Event.
In addition to the above, with your consent (constituted by the acceptance of these Terms) Planisware may also disclose your personal data to Partners and Event participants to facilitate networking during the event but will do so solely in compliance with applicable data protection laws and our Privacy Policy[E1] . Planisware will share only personal data such as your first and last name, job title, company and email address.
Unless otherwise required by law, your personal data is retained for the duration of the contractual relationship and until the end of applicable legal litigation period. Data collected for commercial prospecting is retained up to 3 years.
Sensitive personal data you may have provided for the safe organisation of the event is not shared with Partners or Event participants and is collected by Planisware only for a maximum of 2 months after such event.

4. Agenda & Program
4.1 Modification of the program
Planisware reserves the right to modify the event program and substitute speakers, moderators and panellists at any time before or during the Event. No refunds can be granted in case of cancellation of speakers, lack of space in the conference room or any other incidents during the conference which are beyond the control of Planisware.
4.2 Session availability
To guarantee your place at the session, you must register for every session. Without registering for each session, Planisware cannot guarantee access to sessions. Session admission is subject to venue capacity and other criteria (i.e. vendor/ end user, etc.).
4.3 Guest speakers
Planisware Guest Speaker sessions are central to the success of Planisware Event. In order to provide our Participants with a global platform for the exchange of ideas and insights, we invite key figures from various industries to share their personal perspectives concerning the challenges and opportunities facing businesses today. Where Guest speakers are not employees of Planisware, Planisware neither pre-reviews nor comments on the content of our guest speakers sessions. Guest Speaker views and opinions are entirely their own and in no way reflect the views and opinions of Planisware.
4.4 Presentation materials
You may receive access to Planisware and third-party licensed content. Planisware is not liable for the information in the presentation materials. You may use these presentations as well as session audio/video recordings where available solely for your own internal, non-commercial purposes. Unauthorised distribution (via sales, copying, posting on intranet/internet) is expressly forbidden.
5. Code of conduct
5.1 Event code of conduct
Planisware, in its sole discretion and without any liability or obligation to refund, reserves the right to refuse admission to the Event for any behaviour, which could disrupt, hinder or cause a nuisance to the Event or to the enjoyment of any other person at the event or represents a security or health and safety risk to the Event or to any person.
All Event participants are expected to help promote a safe environment and a productive Event experience for everyone.
You are encouraged to:
- Maintain a respectful, considerate, and courteous attitude towards everyone you engage with in the Event sessions.
- Provide clear, valuable, honest information to Event team members, other participants, and Planisware.
- If there is a situation that looks concerning or could be dangerous, promptly notify Event team members.
If you have been (or notice that someone else has been) impacted by someone violating this Code of Conduct, or have any concerns about the behaviour of any participant, please contact a member of the Event team or email us at natasha.guy@planisware.com. Unacceptable behaviour will not be tolerated and may result in suspension of your access to services provided at the Event and the termination of your Event account without warning or refund. This may also result in prohibition from registering for or attending future Planisware event.
5.2 Consequences of violating this rules
Unacceptable behaviour will not be tolerated at the Event. Anyone engaged in unacceptable behaviour may result in suspension of your usage of the services provided at the Event and expulsion from it without warning or refund. This may also result in prohibition from registering or attending future Planisware Events.
6. Governing law
Unless otherwise provided by applicable law, these Terms are made under and governed by the laws of France without regard to the conflict of law’s provisions thereof and any potential litigation arises from these Terms are submitted to the exclusive jurisdiction of the courts of Manchester, United Kingdom.
7. Limitation of Liability
You expressly waive and release any and all claims against Planisware with respect to information and content you receive via the Event. The maximum aggregate liability of Planisware and its affiliates for all damages, losses and causes of action in connection with the Event, whether in contract, tort (including negligence) or otherwise, will be the Event registration fees, if any, paid by you or your employer.
