Planisware Luma

From Bid to Cash. Run your project business on one system.

Luma connects proposal, contract, staffing, delivery, time, billing and margin on one data model, so what was promised in the bid is what gets staffed, delivered and billed, with a revenue forecast you can steer while there is still time to act.

Delivering Customer Projects: Who Owns the Commitment?

No system owns the promise from bid to cash, and nobody can say what a project is worth until it is over.

The Margin Risk: Visibility

Cost, revenue, committed spend and change orders sit in different systems on different cycles. Scope moves, change orders never reach the contract, and erosion is discovered in the post-mortem instead of prevented in the month.

"For years, we focused on growing revenue. Now, the goal is improving profitability."
— Pars Mukish, Director of Operations, Yole Group

The Commitment Risk: Capacity

Contracts get signed before anyone checks the skills you actually hold. Your scarcest specialists are promised to five engagements at once, and you find out when a delivery date slips.

"It is a challenge to synchronize the project teams. Everyone has their own processes and tools, which are not necessarily connected to each other."
— Stephan Peper, Business Project Manager, ABB

The Revenue Risk: Delivery Data

Revenue recognition under ASC 606 and IFRS 15 depends on progress, contract structure and performance obligations. That data sits with the delivery team, and rebuilding it by hand every period is slow and hard to audit. Month-end is where operational data becomes financial truth.

The Control System Behind Every Customer Project

Planisware Luma connects proposal, contract, staffing, delivery, time, billing and margin on one data model, so what was bid is what gets staffed, delivered and invoiced.

Bid-to-Cash Financial Control

Own the number from proposal to invoice. Estimate from historical and parametric data and see a proposal P&L before you price. Run fixed-price, T&M and milestone work in one contract, send change orders straight into it, and track margin and revenue forecast against target through billing and close.

Resource & Skills Economics

Staff the work you sold with the people you have. Match skills, certifications and availability to signed and forecast demand, spot contention across the whole portfolio, and track utilization against target. Time is captured against the structure of the work, on desktop or mobile, including offline on site.

Delivery Depth

Built for contracts that go beyond a task list. Break work into packages with owners and costs, schedule with critical path and baselines, and manage estimate-at-completion and earned value. Waterfall, agile and stage-gate delivery run side by side.

AI Agents That Work the Commercial Chain With You

Planisware Prisma puts AI agents to work on live project data and project-business logic: they monitor every contract, propose the next move, and act once you approve.

Win Bids You Can Deliver at Margin

Agents estimate from comparable past engagements and flag assumptions that have historically run optimistic. They monitor progress, cost, change orders and timesheets for margin erosion, and alert you before the period closes.

Staff What You Sold

Agents propose feasible staffing against skills, availability and cost, and show the contention each option would create. They surface bench risk and the hire-or-subcontract decision that follows.

Close with Confidence

Agents build revenue, cash and backlog forecasts from contract structure, progress and pipeline. They surface missing timesheets, inconsistent accounting periods and overdue revenue lines before month-end.

Connected to the Systems You Already Run

Planisware Luma sits between your CRM and your ERP: opportunities come in, contracts and budgets go out, and each system keeps doing its job while the commitment finally has an owner.

CRM

Salesforce, Microsoft Dynamics 365, HubSpot and others. Opportunities flow in, convert to projects, and feed capacity planning with real pipeline.

ERP and Finance

SAP (certified), Oracle Fusion and NetSuite, and others. Approved budgets and contracts go out; actuals, commitments, POs and invoices come back. Your ledger stays your ledger.

People and Identity

Workday, SAP HCM and Oracle HCM keep skills and capacity current. Single sign-on with Okta and Azure Active Directory.

Delivery and Analytics

Jira, Azure DevOps, Microsoft Project and Primavera P6 for teams working in their own tools. Power BI and Tableau for reporting, plus an open REST API and MCP for your own integrations.

What is professional services automation (PSA), and which organizations need it?

Professional services automation (PSA) is software that connects the commercial chain behind customer projects: proposal and bid, contract, staffing, delivery, time capture, billing and margin. Any organization that earns revenue by delivering projects to a paying customer can use it, including consultancies, engineering firms, research organizations and industrial suppliers.

The deciding test is contract direction: who is the project for, and does it generate revenue? If the answer is an external customer and yes, the organization runs a customer project business, even if it never described itself as a services firm. PSA is well established: 68.9% of surveyed professional services firms already run a PSA platform (SPI Research, 2026 Professional Services Maturity Benchmark).

A PSA solution typically covers:

  • Bids and proposals: structured estimates and a proposal P&L before a price is committed
  • Contracts: fixed-price, time-and-materials and milestone models, with change orders
  • Resources: skills, availability and pipeline-aware capacity
  • Billing and close: invoicing rules, accruals and a managed period close
  • Margin: project and portfolio P&L

The article Professional Services Automation: The Unique Outcomes That Differ From PPM and 7 Proven Ways to Manage Service Engagements Efficiently go deeper on each area.

How does PSA differ from an ERP project module or a PPM tool?

The three categories answer different questions. An ERP project module records what was spent, a PPM tool prioritizes internal work, and PSA manages the commitment made to a customer, from the bid to the invoice.

ResourcesTypically basicCapacity across internal projectsSkills and availability against signed and forecast demand

PSA does not replace the ERP. It sits above the ledger, pushing approved budgets and pulling actuals and commitments, which is covered in Seamless integration with your critical enterprise applications. For the contrast with PPM, see the PSA and PPM outcomes article, and for the quote-to-cash flow, the client billing guide.

Does PSA replace the finance system, and how does it handle revenue recognition?

No. Recognition entries stay in the finance system. PSA maintains the operational data those entries depend on and shows the revenue forecast against target while there is still time to act.

The reason is where the data lives. Standards such as ASC 606 and IFRS 15 work on performance obligations and progress, which sit with the delivery team, not in the ledger. A simple test: how does the ERP know percent-complete on a fixed-price milestone? In many organizations, someone rebuilds it in a spreadsheet every month.

Stays in the finance systemManaged in the PSA solution
General ledger and recognition entriesContract structure, performance obligations and change orders
Accounts payable and receivableProgress and delivery status that drive percent-complete
Invoice posting and paymentRevenue forecast against target, and a managed period close

The connection between the two is what removes rework. At Tractebel, integrating Planisware with the ERP halved approval time. The client billing guide shows how time, rates and approvals flow into invoicing.

Why should time be captured in a PSA solution rather than in the ERP?

Because time is the foundation of every PSA number. Utilization, billing accuracy, margin and progress cannot be calculated without complete, well-structured time data.

  1. Structure. Time collected in the ERP follows the ledger: cost centers or generic grades. Time collected in PSA follows the work: phase, work package, deliverable or contract line, so actuals can be reconciled with progress.
  2. Completeness. Entry is universal, not optional. Billable utilization fell to 66.4% in 2025, below the 75% SPI considers optimal (SPI Research, 2026 PSA End User Survey), and it can only be managed against target when every hour is captured.
  3. Adoption. Everyone who touches billable work enters time, so a PSA rollout reaches the whole delivery organization and needs a change plan accordingly.

Planisware supports task-level time entry on desktop and mobile with configurable approvals; the interactive Time Card demo shows it, including warnings on missing or out-of-policy entries. For the link to billing, see the client billing guide, and for the governance angle, 7 Proven Ways to Manage Service Engagements Efficiently.

What are the benefits of PSA, and how can success be measured?

PSA gives leaders one trusted view of margin, capacity and cash, so they can steer engagements while the outcome can still change. Success is measured by a small set of delivery and financial indicators, tracked against a baseline.

MetricWhat it showsBenchmark (SPI Research)
Billable utilizationShare of capacity actually billed66.4% in 2025, versus 75% considered optimal
Project overrunGap between plan and actual10.7% in 2025, above the 10% threshold
On-time deliveryCommitments met73.8% in 2025
Project marginProfit kept on engagements37.7%, with firm-level EBITDA of 9.9%

Beyond benchmarks, track bid accuracy, how many change orders reach the contract, close duration, DSO and forecast against actual. Customers see the effect: Tractebel cut project creation time by 40%, and ABB reports reduced margin erosion and shorter execution times. See the client billing guide, 7 Proven Ways to Manage Service Engagements Efficiently and Episode 2: Proposals & Bidding for the real-time financial dashboards.

How do you get started with a PSA implementation?

Start with a focused first phase and build outward. PSA touches sales, delivery and finance, so sequencing and change management decide the outcome.

  1. Define the foundation. Agree contract types, rate cards, the close calendar and the structure time will be booked against.
  2. Phase the rollout. ABB Process Automation began with scheduling and resource management, then added cost management, then reporting.
  3. Connect CRM and ERP early. Pipeline in and budgets and actuals out make the numbers trustworthy from the start.
  4. Plan for adoption. Training, ownership and feedback reach the whole delivery organization.

The scale is achievable: ABB runs 2,500+ users across 50 local units, and Tractebel has run its project managers on Planisware since 2021. Read How 2,500 Users Achieved Project Success at ABB Using Planisware, watch Episode 1: Intake Management, or request a demo.
